Adopt a resolution authorizing the City Manager to execute Amendment No. 2 to Professional Services Agreement with KONE Inc., for citywide elevator maintenance services, extend the agreement through June 30, 2027, and increase the contract amount by $60,000, for a total not-to-exceed amount of $160,000.

body

BACKGROUND INFORMATION:

The Public Works Department's Facilities Division is responsible for coordinating the monitoring, preventative maintenance, and repair of City-owned elevators to support safe and reliable operation, maintain accessibility to City facilities, and comply with applicable state elevator safety requirements.

The City entered into a Professional Services Agreement with KONE Inc. for citywide elevator services, with a contract term commencing July 1, 2024, and ending June 30, 2025. The agreement includes provisions for two optional one-year extensions, subject to the requirements of the agreement.

The City subsequently executed Extension No. 1, extending the agreement for a one-year extension. The original agreement authorized expenditures of up to $60,000. Amendment No. 1 increased the contract authorization by $40,000, establishing a revised not-to-exceed amount of $100,000.

The proposed Amendment No. 2 would extend the agreement through June 30, 2027, and increase the contract authorization by $60,000, establishing a total not-to-exceed amount of $160,000.

The additional funding will support continued elevator monitoring and preventative maintenance services and provide contract capacity for additional services associated with unforeseen elevator repairs at City Hall. Maintaining continuity of these services is important to minimize equipment downtime, address maintenance needs, and support the safe operation of City facilities.

Staff recommends approval of Amendment No. 2 to continue these essential services through June 30, 2027.

FISCAL IMPACT:

Approval of Amendment No. 2 will increase the total contract authorization by $60,000, from $100,000 to $160,000. Funding for the additional expenditures is included in the adopted Fiscal Year 2026/27 Budget. No additional appropriation is requested.

FUNDING AVAILABLE:

Funding is available within the applicable operating accounts included in the adopted Fiscal Year 2026/27 Budget.
