Adopt a resolution authorizing the Interim City Manager to execute Amendment No. 4 with Granicus, LLC, for an additional three-year term, in an amount not to exceed $189,271.31.

BACKGROUND INFORMATION:

Granicus, LLC, provides the software and managed services utilized by the City Clerk’s Office for agenda management, video streaming of City Council Meeting, and the management of Lodi boards, commissions, and committees.

 

On June 18 2015, the City entered into a service agreement with Granicus, Inc., for the Government Transparency Suite to publish agendas and minutes for Council meetings, which are hosted on the Agendas and Minutes page on the City’s website and for the Boards and Commissions management module. Resolution No. 2015-140 authorized the City to auto-renew the agreement annually subject to an annual cost not to exceed the sum of $30,000.

 

On October 9, 2019, Amendment No. 1 was executed to update the City’s encoders for streaming of City Council meetings.

 

On October 12, 2021, Amendment No. 2 was executed through Resolution No. 2021-236, to increase the annual renewal not to exceed amount from $30,000 to $50,000.

 

On February 28, 2023, Amendment No. 3 was executed through Resolution No. 2022-265, to add agenda management product, Legistar, to existing products and services.

 

The current renewal to the contract is in effect until May 31, 2026. Due to the addition of the agenda management platform at later date than the existing products, the renewal dates are staggered. Annual fees for the agenda management platform auto-renewal for 2026 were prorated to align with renewal of all other Granicus products renewal date.

 

Granicus, LLC continues to be an industry leader in providing management programs aimed at supporting municipal clerks across the nation. Therefore, the City Clerk’s Office now desires to combine all Granicus products under one contract and extend the term of the contract for three years, for a total amount of $189,271.31.

 

Staff recommends that Council authorize the Interim City Manager to execute Amendment No. 4 to the agreement with Granicus, LLC, for a three-year term extension for an amount of $189,271.31.

 

FISCAL IMPACT:

The fiscal impact of this amendment is $189,271.31 for three years.

 

FUNDING AVAILABLE:

Funding for the June 2025 renewal was budgeted in FY 25/26 in the following account 10005000.27313 - City Clerk Information System Software. Future years will be budgeted as outlined in the quote attached as Exhibit 2 to the agreement.
