BACKGROUND INFORMATION:
The City of Lodi entered into a citywide copier maintenance agreement with UBEO Midco, LLC, doing business as Ray Morgan Company, on April 24, 2023. The City currently owns 29 copiers that are maintained under this agreement and desires to continue receiving the services and supplies provided.
UBEO provides maintenance services that include parts, labor, and copier toner. Maintenance costs are based on the copier model and range from $0.0068 to $0.01 per black-and-white copy and $0.051 to $0.07 per color copy. The per-copy pricing will remain unchanged under this amendment.
Staff recommends extending the existing maintenance agreement for an additional two-year term through June 10th 2027, and increasing the contract amount by $125,000, for a total contract amount not to exceed $224,000.
The pricing for this agreement is based on Shasta Union High School District Contract No. A77-2031, a competitively bid contract that is permissible for use under City of Lodi Ordinance 3.20.045, which allows the use of state and local agency cooperative purchasing agreements.
Staff further recommends that the City Council adopt the attached resolution authorizing the Interim City Manager to execute Contract Amendment Number Two with UBEO Midco, LLC for the continued maintenance of Canon copiers located throughout City facilities.
