BACKGROUND INFORMATION:

The Public Works Facilities Division utilizes a contract for citywide fire alarm system monitoring and maintenance on an as-needed basis.  The current contract for this work will expire on June 30, 2026. This new contract will have an initial period of three (3) years, ending on June 30, 2029. The contract will have two (2) optional one-year extensions for a total maximum term of five (5) years.

 

The specifications are on file in the Public Works Department.  The planned bid opening date is July 15, 2026. The contract estimate is $20,000 annually, however, a new company would require up-front panel replacements.

 

Staff recommends approving specifications and authorize advertisement for bids for 2026-2029 Citywide Fire Alarm Monitoring, and adopting a resolution authorizing City Manager to award contract to lowest responsive bidder, in an amount not to exceed $200,000.

 

FISCAL IMPACT:

This item has minimal long-term fiscal impacts, however, it is necessary for the monitoring of the city’s fire alarm systems on various city-owned facilities.

 

FUNDING AVAILABLE:

Funding for this work comes from adopted operating budgets for Fiscal Years 2026/27, 2027/28, and 2028/29.
