RECOMMENDED ACTION:

Approve specifications and authorize advertisement for bids for 2026-2028 Tree Maintenance Project; adopt resolution authorizing the Interim City Manager to award Contract to lowest responsive bidder, in an amount not to exceed $900,000, and execute change orders in an amount not to exceed $100,000.

BACKGROUND INFORMATION:

The City owns and maintains approximately 12,500 trees throughout the City streets and parks. The City utilizes a contract for the maintenance associated with these trees. This contract provides for the structural pruning, maintenance trimming, tree and stump removal, emergency calls, pest control, tree planting, and tree evaluation services at various locations throughout the City for Fiscal Years 2026/27 and 2027/28. The primary objective of this contract is to improve the health of our urban forest.

 

The proposed contract term is two years, with three optional one-year extensions (if mutually agreeable to the City and the contractor), for a maximum total contract term of five years.

 

The specifications are on file in the Public Works Department. The planned bid opening date is May 6, 2026. The total project estimate is $450,000 annually.

 

FISCAL IMPACT:

This contract’s long-term fiscal impact is minimal, however failure to perform proper tree maintenance increases the potential need for emergency work and increases the associated liability. 

 

FUNDING AVAILABLE:

Funding for this work comes from various operating accounts (depending on the location of the serviced trees) from the adopted budget each fiscal year.
