BACKGROUND INFORMATION:

The Public Works Facilities Division utilizes a contract for maintenance and replacement of the heating, ventilation, and air conditioning (HVAC) systems citywide on an as-needed basis.  This contract will have an initial period of two (2) years, ending on June 30, 2028. The contract will have three (3) optional one-year extensions for a total maximum term of five (5) years.

 

The specifications are on file in the Public Works Department.  The planned bid opening date is July 15, 2026. The contract estimate is $300,000 annually.

 

Staff recommends approving specifications and authorize advertisement for bids for 2026-2028 Citywide HVAC Services, and adopting a resolution authorizing City Manager to award Contract to lowest responsive bidder, in an amount not to exceed $700,000.

 

FISCAL IMPACT:

This item has minimal long-term fiscal impacts, however, failure to properly maintain and/or replace the city’s HVAC systems in a timely manner may render a facility unusable. This contract allows those repairs and/or replacements to be made in a timely manner.

 

FUNDING AVAILABLE:

Funding for this work comes from adopted operating budgets for Fiscal Years 2026/27 and 2027/28.
